Deputy Director, Strategic Events

Reporting to the Senior Director of Strategic Events (SE) under SBF’s Strategic Partnerships and Events Division (SPED), the Deputy Director works closely with the SE Team in organising SBF’s existing key signature events, as well as assisting with the launch of new strategic platforms and initiatives whenever needed. The Deputy Director also provides guidance and support to other SBF teams to elevate the quality of all SBF events, enhance participants' experiences, and maximise value capture for SBF and its partners.

All the above-mentioned strategic events and platforms are intricately designed to advance SBF’s vision and mission across 6 action agendas: Scaled Internationally, Skills-Empowered, Smart-Enabled, Sustainability-Centric, Socially Impactful, and Synergistic TACs.

Additionally, as a key member of the SPED team, the Deputy Director/SE plays an important role in revitalising existing partnerships and establishing new ones with governmental agencies and key business counterparts. This collaborative effort aims to ensure successful event delivery, strengthen the collective business landscape, and promote G2B or B2B initiatives facilitated by SBF.

This role involves collaboration with various departments and external partners to ensure successful event delivery and partnership development.

Job Responsibilities

A. Event Conceptualisation and Management

Assisting the Senior Director in leading the Strategic Events team in conceptualising, managing, and providing comprehensive support for SBF's flagship and signature events in Singapore and international markets.

Responsibilities include but are not limited to:

  1. Support the development and organisation of SBF’s key events, such as:
    • Flagship or signature events, including international and national summits, forums, conferences, and symposiums.
    • Bilateral / multilateral events.
    • Ministerial dialogues, high-level roundtable discussions or fireside chats involving Political Office Holders (POHs).
  2. Help drive and deliver these platforms through effective event management and event marketing, and coordinate with internal and external stakeholders such as government agencies, event partners, speakers, Professional Conference Organisers (PCOs), PR & Marketing agencies, venue and service providers. 
  3. Guide or lead the SE teammates in planning and executing the events with meticulous attention to:
    • Project timelines: Ensuring all deliverables are on track for timely completion.
    • Budget and Expense Management: Oversee financial allocations to ensure alignment with event objectives, identify cost-saving opportunities while maintaining quality standards, and ensure all expenditures adhere to approved budgets.
    • Logistical arrangements: Ensuring seamless operations for excellent event execution and participant experience.
  4. Help prepare and provide management with timely, high-quality updates and summary reports before, during and after each project, including:
  • Operational plans, project execution timelines, and manpower allocation charts
  • Marketing and promotional materials
  • Budget plans and expense trackers
  • Progressive updates
  • Registration and participant data analysis
  • Post-event summary reports, event KPI tracking, and suggestions for improvement

5. Continuously contribute to the improvement of Event SOPs and Operating Models to enhance overall event delivery, enrich participant experiences, and maximise value capture for SBF and its partners, including:

  • Launching SOPs for organising SBF events.
  • Conducting internal sharing sessions to disseminate procedures and best practices.
  • Providing ongoing guidance and clarification as needed.

B. Partnership Development and Management

As a key member of the SPED team, assist with rejuvenating existing partnerships and establishing new collaborations for key events and platforms to ensure seamless event execution, enhance the collective business environment, and foster G2B or B2B initiatives facilitated by SBF locally and internationally.

Responsibilities include but are not limited to:

  1. Support the crafting of event materials and proposals to attract and cultivate new event partnerships.
  2. Help build, manage, and enhance relationships with existing local and international partners, particularly a group of dedicated business leaders who can support SBF’s vision and mission.
  3. Assist with identifying, recruiting, and developing new partners as opportunities arise.
  4. Work closely with internal or external stakeholders to facilitate the smooth onboarding of new partnerships into strategic events.

C. Team Building and Development

Assist the Senior Director in team building, providing mentorship to team members, and offering regular constructive feedback to improve work efficiency and competencies in event and partnership management.

D. Strategic Planning and Reporting

  • Assist the Senior Director in conceptualising and developing strategies, workplans, budgets, manpower deployment plans, and relevant management reports to achieve sustainable growth for the department
  • Help ensure the fulfilment of divisional and department KPIs and continuously improve processes as needed.

E. Additional Responsibilities

Handle any other ad-hoc responsibilities and duties assigned by the management.
